The Records Division serves as the central repository for all official reports, records, and documentation generated by the San Jacinto County Sheriff’s Office. As one of the most critical administrative functions within the agency, the Records Division ensures that law enforcement records are accurately maintained, securely stored, and made available in accordance with applicable state laws and regulations.
Records personnel are responsible for processing, reviewing, organizing, and maintaining incident reports, offense reports, arrest records, accident reports, citations, warrants, protective orders, and other official law enforcement documents. The division works closely with deputies, detectives, detention staff, prosecutors, courts, and other criminal justice agencies to ensure the timely and accurate flow of information throughout the criminal justice process.
The Records Division also manages requests for public information and open records in accordance with the Texas Public Information Act. Staff review requests, coordinate with appropriate divisions, ensure compliance with state law, and provide records to citizens, attorneys, insurance companies, and other authorized entities while safeguarding confidential and protected information.
In addition, Records personnel are responsible for preparing and forwarding criminal case files to the District Attorney’s Office for prosecution. This includes reviewing reports for completeness, ensuring supporting documentation is included, and facilitating the efficient transfer of investigative materials necessary for successful prosecution.
The division maintains numerous state and federal reporting requirements and assists with data collection, crime reporting, statistical analysis, records retention, and compliance with records management standards. Records staff also provide support to deputies, investigators, and command staff by retrieving archived information, conducting records research, and assisting with information requests from partner agencies.
The Records Division serves as a vital link between the Sheriff’s Office, the criminal justice system, and the public. Through professionalism, accuracy, and attention to detail, the division helps ensure that critical information is properly managed, readily accessible, and preserved in support of law enforcement operations and public service.
The mission of the Records Division is to maintain the integrity, security, and accessibility of official records while providing efficient, professional, and responsive service to the citizens of San Jacinto County and the personnel of the Sheriff’s Office.
